How to Make Your Resume ATS-Friendly, Step by Step

An ATS (applicant tracking system) reads your resume as text, so it can only use what it can parse. Making a resume ATS-friendly means making that text easy to read and making your skills easy to find.

The short version

Use one column, standard headings and a text-based PDF or DOCX. Write bullets that show where you used each skill. Add the keywords the job asks for, then test the file.

Step 1: Start with a clean layout and file type

Use a single column. Multi-column layouts, tables, text boxes and graphics can scramble the reading order when an ATS extracts the text. Save as a PDF with selectable text or as a DOCX, never as an image. The details, including fonts, margins, dates and bullets, are in the formatting rules that work for ATS. Already have a resume in a fancy layout, a Word file or a Canva design? The fastest fix is to convert your resume to an ATS-friendly format, which keeps your wording and rebuilds only the structure. Or start from an ATS-friendly resume template.

Common format questions: how columns, tables and headers are parsed, PDF vs Word, which fonts are ATS-friendly, whether Canva resumes work, and why a resume looks different after upload.

Step 2: Use standard section headings

Label sections the way recruiters and parsers expect: Summary, Experience, Education, Skills. Creative headings such as “My Journey” can leave content unclassified. Put the sections in a predictable order and keep dates consistent. See how to write each resume section so an ATS can read it for what belongs in each one.

Step 3: Write bullets that prove your skills

Listing “Python” in a skills section says you know it. A bullet that says what you built with it, and what changed as a result, shows it. Lead with an action verb, name the tool or method, and add a result where you have one. The resume bullet generator and the professional summary generator can draft these from your own experience for you to edit.

Step 4: Add the right keywords, only where they are true

Keywords are the skills, tools and terms a role asks for. For a role in general, you can scan your resume for missing keywords. For one posting, pull its terms with the job description keyword scanner or compare your resume with the job description. Only add terms you can back up with real experience.

Step 5: Test the finished file

Run the final PDF or DOCX through an ATS resume parser to see what an ATS actually extracts: your name, contact details, job titles, dates and skills. If something is missing or out of order, fix the layout and test again.

Starting from scratch instead?

If you do not have a resume to convert, the ATS Resume Builder produces an ATS-friendly layout by default, so you spend your time on the content. Pick your role and level, edit each section, use AI Improve on weak bullets, then preview. Your facts stay yours: AI rephrases what you provide and does not invent experience.

Frequently asked questions

How do I make my resume ATS-friendly?

Use a single-column layout, standard section headings (Experience, Education, Skills), real text instead of images, a common file type (PDF with selectable text, or DOCX), and keywords that appear inside your bullets, not only in a skills list. If you already have a resume, a converter can rebuild it in that structure without changing your wording.

How long does it take to build an ATS resume?

If you already have a resume, converting and tidying it can take a few minutes. Building from scratch takes longer, mostly because writing strong bullets takes thought. The layout and headings are quick; the writing is where the time goes.

Do I need a different ATS resume for every job?

The layout and structure stay the same. The content changes: keep your core resume, then adjust the summary, skills and the bullets that matter for each posting so they use the terms that job asks for, without claiming anything you have not done.

Should I use a template or a builder?

Either works if the output is clean, single-column and uses standard headings. A builder that produces ATS-safe formatting by default saves you from layout mistakes such as tables, text boxes and decorative graphics.
